How to not miss important email messages!

As a student at Caruso Law, you will find that there are a number of essential, critical, and/or otherwise consequential messages that are sent to your Pepperdine student email account by members of the Caruso Law administration team over the course of the school year.

Also note that your Pepperdine email will also often contain links to shared files in Google Drive and/or Google Forms that leverage your Pepperdine Google email account security. This means that if you are using a system other than Pepperdine’s Google email, you will be unable to access those files, folders, and forms. To make it easy on yourself, we strongly recommend that you use either the Gmail app on your mobile device or the Google Chrome browser to access your Pepperdine email.

To ensure that you don’t miss these important messages, you may want to highlight them in some way. One easy way to do this is by using an email filter.

To create an effective filter you will create a “rule” in your Pepperdine Google Mail inbox using either the sender’s email address and/or significant terms to have Google Mail tag or sort or file the relevant messages for you. Your rule can automatically apply a “star” to the message in your message list and/or add it to a folder using “labels.”

When you create your rule(s) you will need to have some specific terms and/or email addresses that Google Mail will look for.

An important address that you’ll want to use is the one that the Dean’s Suite uses: lawdeansuite@pepperdine.edu

Also you will want to watch for: ExamSoft and Examplify because these terms will inevitably be related to critical messages associated with mid term and final exams.

Microsoft Office Suite – Office 365 is FREE to Students

The Microsoft Office suite is a family of software that delivers almost any tool imaginable to assist users at home and in business. Here, Pepperdine Caruso Law IT helps break down the different applications available.

NOTE: We always recommend that you INSTALL and USE the local copy of MS Word (actually install it on your computer’s hard drive) rather than use the online version (accessed through your web-browser) when working on law school projects or pleadings for court. The features you need for law-specific document creation are not all available to you in the online version of Word.

Students and Faculty can purchase this software at a significant discount through Microsoft’s education store; Office 365 is even available for free.

Microsoft Word

Microsoft Word may be the most popular application under the Microsoft Office suite. Word is a powerful word processing software that is heavily used in the field of law, specifically for legal document creation and formatting. Click here for some common Microsoft Word tips and tricks for lawyers.

Microsoft Outlook

Microsoft Outlook is an all-in-one information manager for personal emails, contacts, calendars, tasks, and notes. It is said to be the second most used Microsoft Office application for lawyer, after Microsoft Word of course. Microsoft PowerPoint

Microsoft PowerPoint is a slideshow presentation software commonly used for meetings, business proposals and industry talks. PowerPoint is known to boost memory retention when it comes to presenting information.

Microsoft Excel

MicrosoftExcel is an incredibly popular spreadsheet software tool. This application may be valuable for analyzing, presenting and sharing data-intensive cases. Many Excel applications exist for case evaluation and management, as well as law firm budgeting.

Microsoft Access

Microsoft Access is a database management system, usually utilized to create business applications from templates or scratch. This is frequently used for lawyer contract tracking and appointment tracking.

Graduation and Email

Hurray! You’ve graduated (or will soon graduate) from Pepperdine Caruso School of Law! The last thing on your mind is your Pepperdine Email account, but there are some things you need to know…

  • The following information applies to all students graduating from any program at Pepperdine: Student email accounts, WaveNet, and other network-related resources are governed by university policy and managed by the university IT department. Student email accounts, WaveNet access, printing, Zoom, etc. will be deactivated 90 days after the date of the commencement ceremony
  • Recent graduates will receive automated notifications in their student email inboxes 90, 60 and 30 days before account deactivation.  
  • After graduation a process starts that begins with your status changing from student to alumnus.  This process involves a file transfer that takes place sometimes several days (up to four weeks) after graduation.  Sure, you have the diploma but the system doesn’t recognize you as an alumnus until that file is transferred from the student system to the alumni system. Typically this takes place about a month after the date of your graduation.  That’s when all the automated stuff starts up.
  • On the fifteenth day of the month immediately after your graduation date you will get an email to your student email account.  This is a reminder message to encourage you to move out of your student email account and other Google-based services hosted for you by Pepperdine.
  • Note again, that student email accounts and related services (Google Drive, Calendar, etc.) are disabled 90 days after the student’s commencement date (the day of the graduation ceremony).
  • Once an account is deactivated the data/emails in that account it is not recoverable.

NOTE: Pepperdine offers a special Alumni-only email service provided by Google.

You will want to use a personal email address going forward. We recommend that you use something professional, perhaps you already have such a personal email address. If you don’t, we recommend creating an email account on Google’s Gmail service.

If you plan to migrate your email from your Pepperdine Google email account to a personal gmail account you will want to ensure that you have a personal gmail account set up first. Then review these instructions all the way to the end before moving forward with the migration.

Part of this process should include your migration of the data from your Pepperdine Google Drive to your personal drive space. If you are migrating to another Google account, keep in mind that you may run into space limits on your targeted storage system.

After your student email address expires, no mail will be received at your student address. To make a smooth transition, we recommend:

  1. Set up your new personal (and professional) email address immediately when you get that email noted above.
  2. Forward your mail in Wavenet to a new email address — that new personal gmail address or another one you prefer. (Note that forwarding will only work up until your student email account is suspended.)
  3. Set up an out-of-office message in your Pepperdine Student Email (accessed through Wavenet) account informing all your contacts of your graduation and of your new email address. Log into Wavenet click on Options, and then update your Out of Office Assistant.

Turning Off Private Browsing MAC

When using Pepperdine’s Wifi network, make sure to turn off private browsing MAC for the best experience.

For Android devices find Wi-Fi in your settings. It will be under a tab called “Connections” or “Networks.” Once you find Wi-Fi, tap on it.

To the right of ‘pepperdine’ there should be a symbol of a gear. Select it.

Next, you will want to select “MAC address type.” You may have to scroll down to find it.

There should be a small pop-up that gives you a few options. Press “Phone MAC.”

For, the process is followed in a similar way. Open settings and find “Wi-Fi.”

Find ‘pepperdine’ in your list, and tap the ‘i’ symbol to the right of it.

Simply scroll down until you find “Private Wi-fi Address.”

Finally, make sure it is off.

Laptop/Travel Preparation – Law Faculty

If you are planning a trip and will bring your university laptop with you, there are a few things you should do before you get too far along in your planning:

  1. Contact the Information Services Team to schedule a pre-trip checkup of your university laptop
  2. If you are going out of the country, you may need to plan for an adapter or other means to plug in and charge the laptop. Here’s a pretty good resource for checking the power plug requirements around the world: https://www.power-plugs-sockets.com/
  3. Consider your internet connectivity options in that location. Pepperdine offers a WiFi service called “EduRoam” that will enable you to use a trusted network at participating locations. The important thing here is to set up your EduRoam account from a trusted network (your office) before you leave.
  4. Make sure you have backups of your important data. Part of the checkup mentioned in #1 above will include a review of your installed auto backup system.
  5. You will also want to ensure that you have your active research and any course materials synchronized to Google Drive. If you need help with that, the Information Services Team will be glad to assist.
  6. Familiarize yourself with Wifi Calling if you are traveling outside of the country and may not be able to make international calls, or if you are traveling to an area where cell service may be limited. Wifi Calling is a great option if you do not wish to pay for international cell service or may only have access to wifi and not strong cell signal.
  7. If you will need to sign into your device with Secure Connect but will not have access to a secondary device, consider generating one time pass codes to take with you so you can still log in. You can generate multiple codes, each of which will last up to 90 days and will allow you to sign into your account once without another connected device.
  8. Consider how you plan to carry your computer with you… will you use a laptop bag or will you check it inside your luggage? If you plan to carry it with you, note that you must remove it from its bag at the TSA screening checkpoint.

When I need Zoom Support …

If I have technical difficulty with Zoom what do I do?

  • Test your computer with Zoom before class.  Check out the audio and video settings.
  • If you have problems, the first thing to do, is to completely shut down your computer and restart.  Most computer problems are corrected with this remedy.
  • Before you begin your Zoom session, we strongly recommend that you shut down and turn off any and all extraneous applications, especially those using the camera, the microphone, or the speakers.  Turn off facebook and other social media apps. The only thing you should have running is your Chrome browser with minimal tabs open (two or three?). Avoid news sites, sites with video, other things that require more bandwidth while using Zoom.
  • Mic Problems? Try checking your microphone settings in Windows or on the Mac. Make sure that the microphone is on and is turned up enough to pickup your voice.
  • As a student you may want to use MS Word for taking notes but note that this may be an ideal time to use Google Suite apps as they are very lightweight and will save your computer’s power for more Zoom fun.

  • Note: you may find it valuable to acquire a USB headset for your Zoom classes. That will remove some variables with your computer’s audio (mic and speakers).

What if, as a Pepperdine Caruso Law student I have a bad internet connection?  How should I join my classes by Zoom? Can I call in?

  • You must use the Zoom app and connect via Internet. See our guide for students here.  We strongly recommend that students use a computer with a reliable internet connection for connecting to their Zoom class sessions.  Telephone dial-in will not work for attending classes remotely It is possible to connect using cell phone data to “tether” the phone’s internet connection to a laptop or desktop computer.  Check with your mobile phone provider for details on this feature. Register for Wireless Network Access

LaptopPepperdine University has wireless networking capabilities throughout the Malibu campus as well as at the other Pepperdine campuses.

Students can conduct research, download research projects, and check e-mail within the accessible area.  For those students considering a new laptop purchase please review our recommendations page here.

You can easily access the WiFi network on your laptop, tablet, smart phone, or other wireless device by registering your device at https://wavesconnect.pepperdine.edu.  To register your device, select “Current Students, Faculty, and Staff” and then enter your wavenet ID and password credentials to access the WiFi network. 

Connection Instructions for Faculty, Staff, and Students

  1. Open a web browser on your device (Firefox, Internet Explorer, Safari, etc.) and visit any web page. You should be redirected to the WavesConnect website for your location.  If not, point your browser to https://wavesconnect.pepperdine.edu.
  2. Read and agree to the Computer and Network Responsible Use Policy.
  3. Click “Start” next to the heading of “Current Students, Faculty and Staff.”
  4. Enter your NetworkID and password. (Don’t know your password?)
  5. Select “Student”, “Faculty/Staff – University Owned” or “Faculty/Staff Personally Owned” from the drop down menu.
  6. Click “Continue.”
  7. Wait for the progress bar to complete or reboot your computer.
  8. Registration is now complete. You must register your computer or device annually.

Remember, when you register your device, your registration will last one year.  Registering as a guest user lasts only one day.

Security: Protect Your Laptop and Yourself!

sophosbadgeViruses, worms, ad-ware and spyware, and theft, are examples of SEVERE risks to your computer in a public, networked environment. You MUST PERFORM THE STEPS LISTED BELOW if you wish to use your computer at Pepperdine or you could face repercussions including loss of network access, data loss, and system failure.

  1. Maintain up-to-date virus protection software on your computer. The University’s IT department supports Sophos for faculty and staff. For students, University IT recommends Microsoft Defender (no cost) for Windows and Sophos AntiVirus for Macs (home version, no cost).
  2. Regularly install all Critical Updates from http://update.microsoft.com. You should begin checking Microsoft Update constantly, starting now. You can also configure your Windows computer to check automatically for updates every time you connect to the Internet.
  3. Keep your browser up to date! A great browser-based tool for checking how current your web-related tools are is Qualys Browser Check.
  4. Keep your computer’s operating system and office products up-to-date
  5. Do not install peer-to-peer file-sharing software or other high-risk programs. Attempt to eliminate any programs that might already be installed by running a spyware/adware removal product such as Spybot Search & Destroy or Ad-aware.
  6. Buy and use a computer security cable for your computer to lock it down when it is not attended. (Alarm-equipped cables are NOT recommended.) We highly recommend that you NEVER leave your belongings alone, especially in quiet areas like the Law Library, as the School of Law is open to the public. Kensington has a website that will help you find a security cable that was made for your laptop. Note that there are currently at least three different kinds of security cable ports on laptops today so you’ll want to pay attention and select the one that fits your laptop. (Pepperdine Caruso Law does not endorse or recommend Kensington locking cables to the exclusion of other  similar solutions, however we have had very positive experience with Kensington security cables for over two decades and find that their products are reliable).
  7. Do not click on links in unsolicited email messages.
  8. Do not open an email attachment unless you are expecting it or have checked with the sender.

Color Printing and Copies the Harnish Law Library

The Harnish Law Library maintains two copiers that will print in either color or black and white.  This service is for Pepperdine users only.

Price per color impression is $0.35.  This means if you print a color document that is duplexed (printed on both sides) you will be charged $0.70 for that piece of paper (if there’s color on both sides).

Note that if you choose to print a document that has some pages that are black and white and some that contain color, each black and white page will be charged at $0.06/impression (side of a page of paper) and the color impressions (sides of a page) will be charged at $0.35 each.  Yep, it’s a kinda smart system.

To do a quick color (or B&W) print job:

  1. Make sure your document is in PDF format
  2. Make sure you have money on your ID Card (to add or to check go here) — If you don’t have funds on your account (separate from the law school printing account) you can’t print anything.
  3. Using your Chrome browser go to https://print.pepperdine.edu/
  4. You will need to login to this page with you Wavenet credentials
  5. Then click on the Web Print option on the left hand list of options then click on Submit a Job
  6. Follow the prompts (pick FindmeColor or FindmeBW)  Note that the charge for color is $0.35 per impression (but only for the pages with COLOR on them, pages with black and white are charged at $0.06)
  7. Select your number of copies (that’s your only option on this page – at this point this service does not support duplexing, or stapling)
  8. Upload your file — or drag it to the designated area on the screen.
  9. You will need to go to the copier to Release the job
  10. At the copier, login using your Wavenet credentials
  11. Select your print job from the list and release it

To Make a Copy

  1. Make sure you have money on your ID Card (to add or to check go here) — If you don’t have funds on your account (separate from the law school printing account) you can’t copy anything.
  2. At the copier, login using your Wavenet credentials
  3. Select Device Functions
  4. Select Copy
  5. Follow the normal prompts as you make your copies
  6. NOTE: This system absolutely will NOT allow you to go beyond your available funds in your account (see #1 above to check your balance).  For this reason, you may get logged off immediately after you do your first copy job. To learn how to ensure that you don’t get logged off do a “Job Build” to avoid needing to log in for each successive copy job you want to do.

Charges go to your Pepperdine ID card’s linked Waves Cash Global account.

Pepperdine University has multi-function devices (MFDs) from Sharp (you can still call them copiers but they’re much more).  You will find two such MFDs in the public area of the Harnish Law Library at Caruso Law.  Additionally, there is another MFD in the Career Development Office.

Students, Faculty, and Staff can print, scan, or copy on the MFDs using an account associated with their Pepperdine ID cards.  Students buy copy and print credit here:   https://get.cbord.com/pepperdine/full/prelogin.php 

All enrolled students can print to all Sharp MFDs in public areas at any of the Pepperdine Southern California campuses (click here to learn about print credit for students enrolled at Caruso Law).   Printing in color or black and white is possible and a document with a mix of color and black and white pages will only incur the higher cost for color on the pages where there is color.

Typically, print jobs are sent via the web using a web-browser interface.  In nearly all circumstances, your document that you want to print must be in PDF format.

You transfer/upload your PDF file to the print.pepperdine.edu site and select your parameters (number of copies, etc.).  If you want to print in color, you want to select a “findmecolor” solution (see more information here) or “findmebw” for black and white.

Then once the document is uploaded, you go to the copier nearest you — Caruso Law? go to Harnish Law Library and see the copiers not too far from the Public Services Desk.

“Tap” your ID card or type in your Wavenet credentials (there’s a slide-out keyboard stored under the copier’s screen), select the print job you want to “release” and you have your document!

Pepperdine’s Courses – The online course management system at Caruso Law

You may have heard of an LMS or learning management system. An LMS is an online service that hosts your course syllabus, other documents, class discussions, and more.

Caruso Law (and Pepperdine in general) use an LMS that Pepperdine calls “Courses by Sakai” or simply “Courses.”

Courses is the “go to” place for all things associated with your classes including Zoom links for your online classes, syllabi, recordings of classes and more.

Two Factor Authentication (2FA)

Pepperdine University uses SecureConnect for 2FA

SecureConnect is available AND RECOMMENDED for all Pepperdine University students but is not required.

Students who opt-in to SecureConnect, will receive an extended password lifecycle to 4 years.
